September 13th, 2022 BOARD MEETING MINUTES

The meeting was called to order at 7:02PM. Those present were: Cynthia Esselman, Omar Nur, Jennifer Mace, Maggie Taber, Mary Ruhlman, David Fosmire, Bill Schilling


PRESIDENT, Cynthia Esselman –

Since the directory came out last month, we have found that there are some errors. We will send an update along with the Board minutes this month. We are also working towards getting the directory back on the previous printing schedule with a new one coming out in April of 2023. 

Brian Branagan, Rissa Sanchez, and I, attended the open house at City Hall on September 8th to meet the three finalists for City Manager. We were able to talk with all candidates and give feed back to the City Council. The final decision will be announced at an upcoming Council meeting. We plan to attend future City meetings and events and welcome neighbors to join us in representing our Innis Arden neighborhood.

 

VICE PRESIDENT/LEGAL AFFAIRS, Omar Nur –

Legal Report

The Swim Club Lease Agreement draft was finalized and presented to the swim club this month. The new lease agreement is a standard commercial lease agreement, tailored to the terms of the current lease agreement with the IASC. We met with the IASC to review the terms of the lease. They have since provided a response which will be reviewed. We look forward to resolving this lease agreement soon!

Insurance Coverage for the IAC we learned is a little low and we are currently under insured! This was due in large part to the fact that an appraisal of the club house has not been done in almost 6 years. IAC is currently working with our insurer to make sure all gaps are filled, and we are not missing coverage anywhere.

 

Compliance Updates: 

*18760 Ridgefield Rd. NW (Thorne, formerly Schuler): At the 11/16/2021 Compliance Hearing this property was found to be non-compliant.  The property has changed ownership.  We have made contact with the new owners and will be meeting with them to discuss the compliance issue and hopefully gain their cooperation and voluntary compliance to resolve this matter.

*17727 17th Ave NW (Lawson) & 

*17732 17th Ave NW (Bargreen): At the 11/30/2021 Compliance Hearing this property was found to be non-compliant. We met with our counsel this week to work out the details in drafting a written order for these properties. The order will address vegetation not needing permits as well as the more complicated issue of the poplar trees which may need permitting from the city. A written order is expected in the near future. 

*18029 13th Ave NW (Hjelle): At the board meeting in August, the board voted to hold a compliance hearing on September 19, 2022 to address the Alaskan Cedar tree which has grown past the roof line and was blocking views of neighbors. This week the board learned Hjelle had cut down and removed this tree and therefore the hearing scheduled for September 19th will be cancelled. The board will continue to monitor Hjelle’s progress on addressing other vegetation out of compliance on the property.

*18770 Ridgefield Rd. NW (McHugh): Omar has contacted the McHugh’s and followed up with some discussions of the POV photos and impact to neighboring properties.  A Compliance Hearing was scheduled for 6/8/22 and then cancelled to allow the McHugh’s an opportunity to speak with his neighbors and voluntarily comply.

*18742 Ridgefield Rd. NW (Gesinger): The Gesinger’s have taken action to trim down their vegetation to a level that would not impact their neighbors’ views. At this time the property appears to be in compliance and no further action will be taken.

TREASURER, Jennifer Mace –
At the close of August, our Operating Checking was $67,132, Collections Savings was $10,174, and the Asset Reserves Savings was $441,205.

 

GROUNDS, Bill Schilling – 

Met with Adrian to review his duties re Club grounds.
Met with B Vincent and Jim Mcullough to review watering system and locations.
Have contacted another supplier for a quote on watering system upgrades.
Will meet with SPU on 9/19 to understand their requirements.

 

CLUBHOUSE, Mary Ruhlman –

There were four rentals in the month of August, one was sponsored by the Activities Committee. For the month of September, we have four rentals, one of which is sponsored by the Activities Committee.

Invasive control activities and trail maintenance continued as expected in late August and early September.

Halloween Costume Parade with Trick-or-Treat Stations – Sunday, October 30th

Halloween w/Neighborhood Trick-or-Treat Map – Monday, October 31st.

Holiday Decorating Party – date TBA.

Holiday Party – Sunday, December 4th.

Santa’s Sleigh Ride – Thursday, December 22nd.

 

The Wine Tasting Event is this Thursday, Sept 15th, 5 to 8 pm. 60 Tickets have been sold so far. Cori Whitaker and Jennifer Buma are co-chairs. Babysitting will be available in the pool kitchen. Kindly email Jennifer Buma (Jennifer.buma@comcast.net) the number of children you are planning to bring.

Plans are underway for the Holiday Party. Freida Magin is the chair for the event. It takes many volunteers to make this event possible for the community. Please contact Freida (Freidac98@yahoo.com) now!!
